The phrase “rank in ChatGPT” is useful because people search it. It is also misleading.
ChatGPT does not present one stable set of ten positions for every query. A company may be mentioned for one prompt, absent for a similar prompt and cited through a third-party source rather than its own website. The result can change when the model, location or available sources change.
That does not make optimization impossible. It means the measurement and promise must be honest.
Can an ERP Company Rank Number One in ChatGPT?
No company can hold a guaranteed, permanent number-one ChatGPT rank. An ERP seller can improve its chance of being found, cited or accurately recommended by making its content accessible, covering buyer questions, supporting claims with evidence and building a consistent reputation across relevant sources.
The useful goal is not a vanity rank. It is accurate visibility for the prompts a qualified ERP buyer asks before contacting a supplier.
How the Major AI Search Surfaces Differ
| Surface | Retrieval consideration | What an ERP seller should control |
|---|---|---|
| ChatGPT Search | Can use web search and OpenAI’s search crawler | OAI-SearchBot access, search index visibility, accurate pages, citations and referral tracking |
| Perplexity | Uses PerplexityBot for search discovery and can fetch pages in response to users | Crawler and WAF access, answer-ready pages, current facts and source quality |
| Google AI Overviews and AI Mode | Built on Google Search systems and query fan-out | Google crawl and index health, useful original content, page experience and Search Console data |
| Copilot | May use Microsoft and Bing search systems | Bing index health, clear site structure, authoritative content and consistent brand facts |
| Gemini | Can draw on Google’s systems and other connected sources | Google search foundations, entity clarity, useful content and accurate public information |
Do not assume one crawler control covers every platform. Review each official source and keep the configuration current.
1. Allow the Search Crawlers You Actually Want
OpenAI distinguishes between crawlers. OAI-SearchBot is used for ChatGPT search. GPTBot relates to potential model training. A site can allow search discovery while applying a different training preference.
Source check: OpenAI explains the purposes of OAI-SearchBot and GPTBot, publishes crawler IP ranges and notes that sites opted out of OAI-SearchBot will not appear in ChatGPT search answers, apart from possible navigational links. See OpenAI’s crawler documentation.
For Perplexity, review PerplexityBot and Perplexity-User separately.
Source check: Perplexity recommends allowing PerplexityBot for search visibility and checking WAF rules against its published IP ranges. See Perplexity’s crawler documentation.
Do not whitelist a bot using only the user-agent string. User agents can be spoofed. Follow the platform’s current IP-verification guidance and monitor logs.
2. Check Robots, Noindex, WAF and CDN Rules
A basic crawler audit should test the exact commercial and supporting URLs, not only the homepage.
- robots.txt response and relevant user-agent rules
- Page-level robots meta tags and X-Robots-Tag headers
- Canonical URLs
- Status codes and redirect chains
- Cloudflare or other WAF challenges
- Rate limits and bot-management rules
- Whether HTML contains the important answer
- Server-log evidence of successful or blocked requests
Marketing should not change WAF rules alone. Work with whoever owns hosting and security. The objective is to allow verified legitimate access without weakening the site’s defenses.
3. Keep Google and Bing Indexing Healthy
ChatGPT and other systems may use search indexes and search partners. A page that is absent from major indexes starts at a disadvantage.
Submit and monitor sitemaps, inspect important URLs, fix accidental noindex directives, consolidate duplicates and build internal links from established pages. Use Google Search Console and Bing Webmaster Tools to diagnose issues rather than relying only on a third-party crawler.
Source check: Google explains that discovery, crawl access, indexability, relevance and quality all affect whether a page can appear. See Google’s guide to crawling, indexing and serving.
4. Build Pages Around Real ERP Buyer Prompts
Create a fixed set of 25 prompts before changing the site. The set should cover the full decision journey.
| Prompt group | Example |
|---|---|
| Discovery | Which ERP implementation partners specialize in multi-site manufacturing? |
| Platform | Which UK consultancies support Dynamics 365 Finance and Supply Chain? |
| Problem | How should a company plan ERP data migration risk? |
| Comparison | What should I compare when choosing an ERP reseller versus an independent consultancy? |
| Proof | What evidence should an ERP partner show before a discovery call? |
| Marketing service | Which agencies provide SEO and AI search work for ERP companies? |
| Buyer guide | What should AI search optimization services include for a B2B software company? |
Run the same prompts using a documented platform, model, account state, location and date where possible. Save the answer, mention, description and sources.
5. Create Citation-Ready ERP Pages
A citation-ready page gives the system a specific answer and enough evidence to use it responsibly.
- A direct definition or conclusion beneath the heading
- Named audience and situation
- Concrete criteria, steps or comparison factors
- Original diagrams, templates or data
- Named authors and technical reviewers
- Dates on time-sensitive guidance
- Links to primary sources
- Clear limitations and exceptions
- A stable evergreen URL
Do not write every sentence as a standalone snippet. The page should still read naturally and provide context. AI extraction is not an excuse for chopped-up content.
6. Make Brand Facts Consistent
Ask the AI tools basic factual questions about the company:
- What does the company sell?
- Which ERP ecosystems does it support?
- Where does it operate?
- Who founded it?
- Is it a software vendor, reseller, implementation partner or consultancy?
- Which industries does it serve?
Record incorrect or missing answers. Then trace the public sources that may be causing confusion. Fix the company website first, then major directories, vendor listings, social profiles and approved third-party pages.
Do not create fake profiles to manufacture consensus. Correctness comes before volume.
7. Earn Mentions Where ERP Buyers Already Look
AI systems may cite a vendor directory, customer page, publication or community source rather than the company’s own website.
Prioritize references that a buyer would trust:
- Official ERP ecosystem directories
- Approved customer stories
- Relevant associations
- Industry publications
- Expert webinars and podcasts
- Event and speaker pages
- Accurate review profiles
The goal is not to place the brand name everywhere. It is to connect the brand with accurate claims in sources relevant to the question.
8. Track Mentions, Citations and Referrals
For each prompt, record:
- Whether the company is mentioned
- How the company is described
- Which URLs and domains are cited
- Where the company appears within the answer
- Whether competitors are present
- Whether the answer contains factual errors
OpenAI states that ChatGPT search referrals include utm_source=chatgpt.com. Track that parameter in analytics, but do not assume it captures every AI-assisted visit.
Report the trend across the prompt set, not the best screenshot from the month.
Common Reasons an ERP Company Is Missing
| Problem | What it looks like | Response |
|---|---|---|
| Crawler blocked | No access or repeated WAF challenge | Verify bot identity and correct robots or security rules |
| No index footprint | Commercial pages absent from Google or Bing | Fix indexability, quality, duplication and internal links |
| Generic content | Pages repeat vendor copy and broad claims | Add original ERP-specific frameworks, proof and examples |
| Weak entity facts | The company is described inconsistently | Create and propagate an approved fact sheet |
| No third-party support | Only the company makes the claim | Earn accurate references in relevant sources |
| Wrong prompt coverage | Content answers broad ERP buyer questions but not seller-side service questions | Map content to the prompts qualified prospects ask |
What Not to Do
- Do not promise a permanent ChatGPT rank
- Do not buy fabricated citations or reviews
- Do not create hundreds of near-duplicate question pages
- Do not block training and accidentally block search because the crawler names were confused
- Do not expose the site by broadly bypassing WAF checks
- Do not publish technical ERP claims without a qualified reviewer
- Do not treat one tool’s visibility score as revenue
A Repeatable 25-Prompt Measurement Sheet
Each row should contain enough information for another person to reproduce the check.
| Field | Example | Why it matters |
|---|---|---|
| Prompt ID | ERP-DISC-01 | Keeps the prompt stable when wording is reviewed |
| Exact prompt | Which Dynamics 365 partners support multi-site manufacturers? | Prevents the report quietly changing the query |
| Platform and model | ChatGPT Search, named model where visible | Different surfaces can return different sources |
| Location and account state | UK, signed-in account | Personalization and geography may affect results |
| Run date | 2026-07-28 | AI answers change over time |
| Brand result | Mentioned, cited, absent or incorrect | Separates presence from usefulness |
| Sources | Domains and URLs cited | Shows where the answer is getting evidence |
| Commercial relevance | High, medium or low | Stops broad vanity mentions dominating the report |
Run prompts consistently, but accept that a perfect laboratory setup is not possible. The purpose is trend detection and diagnosis, not pretending AI answers are deterministic.
Diagnose an Incorrect AI Description
- Copy the exact answer and source links.
- Identify which statement is wrong, outdated or ambiguous.
- Check whether the company website contains conflicting information.
- Check major directories, social profiles, vendor listings and old press pages.
- Correct the strongest controllable source first.
- Add a clear factual page when the information is missing.
- Repeat the test on the agreed schedule and record the change.
Do not send a platform a vague request to “fix our AI presence” before checking the public evidence. The answer may be reflecting a real inconsistency.
Verify Crawler Access Without Weakening Security
The marketing team should document the crawler it wants to allow and the official source used to verify it. The technical owner should review logs and create the narrowest safe rule.
After the change, test the relevant URL, confirm a successful response and monitor for abuse. Keep a change record with owner, date and reason. Never create a global WAF bypass for any request containing a crawler name.
Build Pages for the Source Path AI Actually Uses
If prompt tests repeatedly cite a vendor directory, review whether the directory profile is complete and accurate. If Google pages dominate, strengthen indexation and topic coverage. If customer sources are cited, make approved success stories easier to find.
The response is not always “write another blog.” Sometimes the highest-value action is repairing a partner listing, updating an author page or turning a weak service page into a usable source.
Use AI Referral Traffic Carefully
Create an analytics segment for known AI referral sources and landing pages. Review whether visitors continue to a service, pricing, proof or contact page.
Referral volume may remain small while the platform influences research that later becomes direct or branded traffic. Combine analytics with sales questions such as “Where did you first hear about us?” and “Which pages helped you decide to contact us?”
